Tips for Committee Chairmen

Procedures for Handling
Money
 |
PTA funds must be delivered to the Treasurer
frequently. Do not wait until the fund raising activity is over before giving monies
to the Treasurer.

PTA funds are counted by two PTA members together and a
"Deposit Voucher" is filled out and signed by both members. It is then
given to the Treasurer, who will issue a receipt.

PTA money is not to be left overnight in the school
building at any time, for any reason. It must remain with the chairman until it is
hand delivered to the Treasurer. If you are unable to pick up the money on a daily
basis, find a PTA member who can help you.

Do not replace monies collected with a personal check.
|
|
Paying a Bill
 |
If your committee is billed for services
rendered, you fill out the "Bill and Invoice" form and attach the bill or
invoice that you received to this form. The completed form with attached bill is then
given to the Treasurer and payment is made.
Submitting messages for the
"Cheetah Chatter" |

It is preferred that we utilize the PTA newsletter to relay
information about PTA events, but if that is not possible information may be submitted to
Ms. Witruk for the "Cheetah Chatter". Keep items short as the
"Cheetah Chatter" is meant for school and district information. PTA
information is limited to space available. Submissions need to be turned in on
Mondays for it to be included in Thursday's "Cheetah Chatter". |

Sending out Flyers and Thank You Notes

General rule: Items that go out in the Cheetah
Messenger with the students need to be proofread by the school secretary, Ms.Witruk.

Please allow her 10 days to get the edited item back to
you. Items that go in the mail, such as thank you notes, do not need to be
proofread.

Requesting
Copies
 |
Once proofed, the item can be placed in the copy folder
with a form filled out with your request. If you want the item to go into the
Cheetah on a Thursday, have the copy request in no later than Monday of that week.
Counting, stapling, cutting and folding is the responsibility of the committee unless
previously arranged with the copy person.

After your copies are made, your original will be
placed in the committee folder in the PTA closet. You may then file the original in
your committee's procedure notebook under "Specialized Forms used for your
Committee". This allows you to refer back to your message if needed and allows
future chairmen the opportunity to glean from what you have done. |
Procedures for Using the School Building
 |
As soon as you know when and where you want to hold
your event, see the school secretary, Ms. Witruk for a reservation. The Cheetah Den,
Gym and Library are options for holding events.

Fill out a "Building Use Form" from Ms.
Witruk indicating anything you will need, such as garbage cans, microphones, the kitchen
area of the gym, etc. For sound equipment, see the music teacher, Ms. Schuster.

Tables need to be ordered through the District on a
first come first serve basis. See Ms. Witruk as soon as possible to assist you. Chairs are
located under the stage in the Gym.

 |
It is the committee's responsibility to set up and
clean up after the event. This includes putting away chairs and tables,
sweeping the floor, and putting all garbage cans in one area. |
Sharing
information with students during school hours
 |
If you would like to remind students of an upcoming
event, you may visit classrooms during their lunch period, provided you have permission
from the Principal or the Vice Principal. Asking the teacher for approval is also
appreciated. Keep your presentation short to allow students to finish their
lunches and get out to recess on time.

If you would like to hang posters to advertise your
event, please remember to remove them after the event.
